How to Create Standard Operating Procedures with Voice Dictation
Standard operating procedures are valuable only when they reflect how work actually gets done. Yet documenting a familiar process can feel surprisingly difficult. You know every step, but typing it all out interrupts the flow and makes small details easy to miss.

Before dictating, name the process, its purpose, and the person who will use the instructions. Then talk through the workflow from beginning to end. Include:
- What must be ready before the task starts
- Each action in the order it happens
- Decisions, exceptions, and common mistakes
- What a successful result looks like
- Where related files, tools, or templates are stored
Do not stop to perfect every sentence. If you remember a missing detail, say it and keep going. The first goal is complete coverage, not polished formatting.
Turn the transcript into a usable SOP
Once the walkthrough is editable text, organize it into a structure that is easy to scan. A practical SOP usually needs a short purpose, prerequisites, numbered steps, warnings, and a final verification checklist.
Replace vague phrases such as “set it up normally” with specific instructions. Add screenshots or links where a visual reference would prevent confusion. Ask someone unfamiliar with the process to follow the draft; every question they ask reveals a place that needs clarification.
Keep procedures current
An SOP should change when the workflow changes. After updating a tool or process, dictate a quick explanation of what changed and why. Edit that transcript into the relevant section and update the revision date. Small, frequent updates are easier than rewriting an outdated document from scratch.
